Canceling ITOG Annual Meeting in Paris, France May 13-15, 2020

Dear ITOG Members and Guests

RE: ITOG Annual Meeting in Paris, France May 13-15, 2020 in light of COVID-19 Pandemic

Over last 10 days, ITOG Executive committee and Board of Directors (BOD) have had several discussions about the ITOG Annual Meeting in Paris, France May 13-15, 2020 in light of fast-moving COVID-19 Pandemic.  Thank you to those of you who had chance to provide input.  The health and safety of our members, guests and patients is our top priority.  After considering several options, the BOD has unanimously voted to CANCEL the ITOG Annual Meeting in Paris, France May 13-15, 2020. 

While the following options were considered, the BOD decided today that it is in our best interest not to make any future commitments regarding timing and location for a future ITOG Annual Meeting at this point.  Given the level of uncertainty in the coming weeks, the BOD also believed that ‘scheduling a Virtual Meeting’ during May 13-15 dates should not be done.  Furthermore, given that our ITOG membership span over several time zones/continents, conducting a 2 day-virtual meeting might not be feasible.  We will reassess the situation in the summer and may consider the feasibility of ‘mini/recorded virtual meeting’ in the Fall.

 Options considered include the following:

·         Holding the Annual Meeting in Paris as planned

·         Postponing the meeting by 6-12 months

·         Conducting a virtual meeting during May 13-15 2020

·         Canceling the Annual Meeting for May 2020 in Paris

 

In summary, the ITOG Annual Meeting in Paris, France that was scheduled for May 13-15 2020 is canceled. 

The ITOG leadership requests that our members do their best to:

1) Cancel hotels and flights without penalty and obtain refunds

2) Work with their institutions if they are helping with cancelled travel expenses.

Given the extenuating circumstances, many cancellation penalties are being waived and refunds provided. In fees remain after your efforts to cancel, ITOG will reimburse expenses. If you have any questions or concerns please contact Judy Dallas  for assistance.
